Keyword Rank Tracking Software: What Agencies Need

Keyword rank tracking software for agencies: why map pack and organic need separate numbers, why weekly beats daily, and what $99/mo per client covers.

Keyword rank tracking software checks where a website shows up in Google for a set of search terms, on a schedule, and saves every result so you can see movement over time. For an agency running local clients, the buying decision comes down to five questions: does it check from the client's real location, does it separate map-pack position from organic position, how often does it check, how does the price grow with your roster, and do the numbers reach the client report without someone copying them over. DFY Hub's rank tracking checks every tracked keyword each Sunday, records both positions, and is included from the Local Dominator plan at $99/mo per client.

One keyword, two rankings

Here's what most people don't realize until a client asks about it. For a local service business, the same keyword has two positions: where the business sits in Google's map pack, and where its website ranks in the organic results underneath. They often differ.

A roofer can hold the second map-pack spot for "roof repair [city]" while the website sits on page three of the organic results. Report only the organic number and you undersell work that's paying off. Report only the map pack and you miss that the site itself isn't pulling its weight. (The reverse happens too: a strong website attached to a thin Google Business Profile.)

That's why the first thing I'd check in any keyword rank tracking software is simple. Does it show both, per keyword, side by side? If it blends them into one "rank," you're reading an average of two different races.

What to check before you buy

What to checkWhy it matters for an agencyHow DFY Hub handles it
Search locationLocal results change with where the searcher standsChecked from the business's own location: the center of its latest geo-grid scan, or its Google listing if there's no scan yet
Map pack vs organicTwo separate positions per keywordBoth recorded: map-pack spot (top 20) and organic position (top 100)
Check frequencyToo rare misses changes, too frequent is noiseEvery Sunday, plus an on-demand Check Rankings Now for organic positions
HistoryClients want proof of progress over monthsEvery weekly check is saved, and Full Stack reports show what moved since the last one
CompetitorsA position means little without contextAdd the competitors you care about and see each one's average map-pack position next to your client's per-keyword positions
ReportingCopying numbers into decks is where the hours goOn Full Stack, rankings feed white-label client reports

Two rows on that list get skipped most often in demos: location and history. A tracker that checks from a data center in another state will give you clean, confident numbers that don't match what your client's customers see. And a tracker that only shows this week's position can't answer the question clients actually ask, which is "is it working?"

How often should rankings be checked?

Weekly. That's my view for local service clients, and I'd push back on anyone selling daily checks as a must-have for them.

Daily positions for a plumber's keywords bounce around for reasons nobody can act on. A layout test, a competitor's new review, an ordinary Tuesday. Report daily and you train the client to panic about noise. If you've suspected those daily swings mean very little, you were right.

A weekly snapshot gives a monthly report four readings per keyword. That's enough to see a direction without reacting to every wobble. When you need an answer sooner (a new service page just went live, say), run a one-off organic check instead of paying for daily checks on every keyword forever. Map-pack positions update with the Sunday run.

Daily tracking earns its cost in a few places: national e-commerce, news sites, a site in the middle of a migration. It's rarely worth it for a roster of 5 to 50 local service businesses.

Pricing: per credit, per location, per client

Rank trackers charge in ways that don't line up neatly, so compare them against your roster, not against each other's headline number.

ToolListed pricingHow it scales
DFY Hub$99/mo per client on Local Dominator, up to $399/mo per client on Full StackPer client; rank tracking is part of the plan
Local Falcon$24.99 to $199.99/moCredit-based
BrightLocal$39 to $59/mo per locationPer location
Semrush Local$30 to $60/mo per locationAdd-on that needs a Semrush subscription
SE Ranking$129 to $279/mo (Core and Growth)Platform subscription

Those prices don't buy the same bundle. BrightLocal leans on citations and white-label reporting, Local Falcon is built around grid scans, and Semrush Local sits on top of a full SEO suite. DFY Hub's plan also carries review monitoring, the Google Listing NAP Check and Google Business Profile post scheduling.

So run the math for your actual roster. Twenty clients on Local Dominator is $1,980/mo, because every client is billed at the plan price. A per-location tool scales the same way; a credit-based tool scales with how many scans you run. Neither is wrong. They just reward different habits.

Picking keywords for each client

Start with the searches that bring in calls, not the ones that look good in a report. For most service businesses that means three groups:

  • The main services, with and without the city name ("drain cleaning service," "drain cleaning [city]")
  • "Near me" versions of the top two or three services
  • Urgent searches, such as "emergency plumber [city]" or "ac repair [city]"

Keep the list short enough that someone will actually read it every week. Twenty keywords a client reads beats a hundred nobody opens.

Where the software stops and your team starts

DFY Hub doesn't send drop alerts. The rankings dashboard shows each keyword's latest position after the Sunday check without flagging what changed, so someone on your team has to look and compare. (Full Stack reports do count what declined since the last report.) It also won't suggest keywords or explain why a position moved.

I don't see that last part as a gap worth paying to close. Whether a drop is noise, a competitor's move or something broken on the site is a judgment call, and the person who knows the account should make it.

One more limit worth knowing: a map-pack position from a single point can't show how a client ranks across their whole service area. That's what a grid is for, and our geo grid rank tracking tool post covers it. In DFY Hub, geo-grid scans run when you trigger them, so put them on the team calendar.

If you'd rather pull positions yourself, SERP Tracking API: What Agencies Should Build vs Buy walks through that trade-off.

Getting rankings in front of the client

On Full Stack, keyword and map-pack rankings feed white-label client reports, which can include a plain-English summary. Scheduled reports go out automatically, with no review step, so build one habit into the week: read the numbers after Sunday's check and before the send date.

There's also an opt-in Monday digest email. It tells you how many keywords are tracked, not how they moved, so it's a reminder to look rather than a summary of what changed. Frequently asked questions

What is keyword rank tracking software?

It's software that checks where a website appears in Google for a list of search terms on a regular schedule and saves each result. For local service businesses, good tracking records two positions per keyword, the map-pack spot and the organic ranking, checked from the business's own location. The saved history is what turns a single number into proof that work is or isn't paying off.

How much does keyword rank tracking software cost for an agency?

It depends on how the tool scales. Local Falcon is credit-based at $24.99 to $199.99/mo, BrightLocal runs $39 to $59/mo per location, and Semrush Local is a $30 to $60/mo per-location add-on to a Semrush subscription. DFY Hub includes rank tracking from Local Dominator at $99/mo per client, alongside review monitoring and Google Business Profile post scheduling.

Does DFY Hub send alerts when rankings drop?

No. There are no automatic drop alerts. The rankings dashboard shows each keyword's latest position after the weekly check, which runs every Sunday, without flagging changes. Someone on your team should look after each Sunday update and decide whether the change is noise, a competitor's move or a problem on the site. You can also run an on-demand organic check at any time.

How is keyword rank tracking different from geo-grid tracking?

Keyword rank tracking records one organic position and one map-pack position per keyword, checked from the business's location, every week. Geo-grid tracking checks the map pack from many points across a service area and rolls the results into Average Rank Position and Share of Local Voice. Agencies usually want both: weekly positions for the trend, grid scans for the area-wide picture.
